Privacy Policy
This policy explains how Client Mark Studio handles personal information when you visit the website, contact the business, become a client, or receive relevant business-to-business communications.
1. Who we are
Client Mark Studio is operated by Oliver Brown, trading as Client Mark Studio. For data protection purposes, Client Mark Studio is the controller of personal information it decides how and why to use.
Email: oliver@clientmarkstudio.co.uk
Website: clientmarkstudio.co.uk
Postal address: 30 Signal Close, Henlow, SG16 6FF, United Kingdom.
ICO registration reference: ZC040186.
2. Information we may collect
Depending on how you interact with Client Mark Studio, we may collect and use limited personal information such as:
- your name, business name, role and professional contact details;
- email address, telephone number and other contact details you provide;
- information contained in enquiries, messages, project discussions and correspondence, including information submitted through the website enquiry form;
- project, invoice and payment-related records needed to manage a client relationship;
- business information relevant to assessing whether Client Mark Studio's services may be relevant to an organisation; and
- basic technical information generated when you access the website, such as server logs, where this is processed by the hosting provider.
3. How we use personal information
We use personal information only where there is a valid reason to do so. Depending on the situation, this may include:
- responding to enquiries and discussing possible work;
- preparing quotes, project confirmations and agreements;
- delivering agreed services and communicating with clients;
- issuing invoices, keeping business records and meeting legal or accounting obligations;
- protecting the security and operation of the business and website; and
- carrying out limited, targeted business-to-business prospecting where the legal requirements are met.
The lawful basis will depend on the purpose. This may include taking steps at your request before entering into a contract, performing a contract, complying with a legal obligation, consent where required, or legitimate interests where it is appropriate and proportionate.
4. Business-to-business marketing and prospecting
Client Mark Studio may research businesses that appear relevant to its services and may use limited professional information such as a person's name, role, business, business email address, website and relevant business context.
Sources may include public business websites, professional profiles, Companies House and other publicly available business sources.
Where appropriate, Client Mark Studio may rely on legitimate interests for this limited professional-data processing. Electronic marketing is also subject to the Privacy and Electronic Communications Regulations (PECR), so the route used depends on the type of recipient and the circumstances.
5. Website enquiry form and spam protection
The website enquiry form asks for your name, email address, optional business or website details, the type of asset you need and the information you choose to provide about your project. This information is used to respond to your enquiry and, where appropriate, to discuss scope, pricing and possible work.
The form uses Cloudflare Turnstile to reduce automated spam and abuse. Turnstile may process technical information about your browser, device and connection in order to distinguish legitimate human use from automated activity. No advertising or behavioural analytics have been added to the form.
The form also uses a hidden anti-spam field, basic server-side validation and a short-term rate limit. Successful enquiries are sent to oliver@clientmarkstudio.co.uk; the website does not create a separate enquiry database.
6. When information may be shared
Client Mark Studio does not sell personal information. Information may be shared only where reasonably necessary, for example with service providers supporting email, website hosting, cloud storage, invoicing, payment administration or other business operations; with professional advisers; or where disclosure is required by law.
Where a service provider processes information on behalf of Client Mark Studio, reasonable steps are taken to use providers with appropriate safeguards.
International processing
Some technology providers may process information outside the United Kingdom. Where this happens, Client Mark Studio will rely on an appropriate legal mechanism or safeguard where required by data protection law.
7. How long information is kept
Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, including client delivery, business administration, legal, tax, accounting, dispute and record-keeping requirements.
Website enquiries that do not become client projects are reviewed periodically and are normally deleted when they are no longer useful for responding to the enquiry or maintaining an appropriate business record. Prospect information is not intended to be kept indefinitely. Where someone objects to direct marketing, minimal suppression information may be retained so that the objection continues to be honoured.
8. Your data protection rights
Depending on the circumstances, UK data protection law may give you rights to:
- ask for access to personal information held about you;
- ask for inaccurate information to be corrected;
- ask for information to be erased or its use restricted in certain circumstances;
- object to certain processing, including direct marketing;
- ask for certain information to be transferred to you or another organisation where the right to data portability applies; and
- withdraw consent where processing is based on consent.
To exercise a data protection right or raise a complaint about how Client Mark Studio handles your personal information, email oliver@clientmarkstudio.co.uk.
We will acknowledge data protection complaints within 30 days, investigate them without undue delay, keep you appropriately informed and communicate the outcome.
You also have the right to complain to the Information Commissioner's Office (ICO) if you are concerned about how your personal information has been handled.
9. Cookies and website information
This current website build does not intentionally use non-essential analytics or advertising cookies. The website hosting provider may still process basic technical logs needed to deliver, secure and maintain the site.
If analytics, advertising technologies or other non-essential tracking are added later, this policy and any required cookie information will be updated before those technologies are used.
10. Security
Client Mark Studio takes reasonable technical and organisational steps to protect personal information from loss, misuse, unauthorised access, alteration or disclosure. No internet or storage system can be guaranteed completely secure, so safeguards are reviewed in proportion to the nature of the information handled.
11. Changes to this policy
This policy may be updated when services, systems, data uses or legal requirements change. The latest version will be published on this page with an updated date.
